Highlander Day of Service Organizer Toolkit
What does it mean to coordinate a project?
As a coordinator for Highlander Day of Service, you are serving as UCR’s representative in your area. Project coordinators agree to do the following:
- Organize a community service project in their area
- Answer any questions from participants
- Assist in recruiting volunteers through personal channels
- Check in volunteers, have waivers signed, and distribute HDoS materials
- Provide follow-up materials to the Office of Alumni & Constituent Relations after the event (attendance sheet, photographs, etc.)
- Represent UCR with enthusiasm and spirit
How to organize a project:
Research possible service projects
Talk to your co-workers, fellow Highlanders, and friends to find local non-profits and service organizations that might be good partners for a community service project. More popular service projects include beach or park cleanups, feeding the hungry, food/toiletry drives, mentoring opportunities, and volunteering at shelters.
When discussing a project with a local organization, be sure to ask about the following:
- Age restrictions
- Number of volunteers needed
- Whether or not the volunteers need to bring supplies
- Any physical requirements
- Parking information
- Day of contact information (name and cell number)
Register your project
Once you have confirmed your project, be sure to register the event at http://dayofservice.ucr.edu Please note that all projects will go into a queue and will be approved by staff at the Office of Alumni & Constituent Relations prior to being listed on the website. Please allow 48 business hours for processing.
We suggest doing an in-person run through prior to Day of Service so that you will be able to help orient your volunteers on the day of the event. This will also help you to find a proper place to have participants check in and receive HDoS materials and sign participation waivers when they arrive.
The Office of Alumni & Constituent Relations will advertise HDoS broadly through email, social media, and through official Alumni Association clubs and chapters. We encourage you to use your own connections and social media channels to encourage additional participants to join.
Please also note that a high no-show rate (50% or more) is not uncommon, so you may want to take extra volunteer sign ups to account for no-shows.
The Day of the Event
- Arrive early to set up and do a final walk through
- Distribute HDoS materialsd
- Have participants sign release waivers
- Have fun!
- Encourage your volunteers to take pictures for social media and use #UCRHDoS2018
- February 19: Registration form for service project opens
- March 23: Deadline for out of state and international projects
- April 6: Deadline for projects in California
- March 12-April 12: Participant registration open
- April 13: Packets sent to organizers
- April 20: Final information sent to participants
- April 21: Day of Service
- April 23: Follow up with the alumni office with the attendance roster and any photos
